Holiday activities and food programme privacy notice

This privacy notice explains why we need to collect your personal information when you access the Holiday Activities and Food Programme for children.

The Holiday Activities and Food Programme (HAF) enables children eligible for free school meals to access healthy food and take part in fun activities over the school holiday periods. The programme is funded by the Department for Education (DfE) and covers the Easter, Summer and Christmas holiday periods.

The notice provides additional information that specifically relates to this particular service and should be read together with our education privacy notice.

What personal data is being collected?

We only collect and use the minimum amount of personal information to enable us to deliver a service to you.

Your HAF provider collects and uses the minimum of personal information necessary to run the holiday club. This information is then shared securely with Edsential CIC and held in accordance with Edsential’s privacy policy.

What is the legal basis for processing your personal data?

Most of the personal information we collect is provided to us by you under Article 6 and Article 9 of the UK General Data Protection Regulation (UK GDPR)

  • we need it to perform a public task (UK GDPR Article 6 (e)

The information will be managed in confidential manner. All information will be held securely and processed on a ‘need to know’ basis by only a limited number of people.

When we have to share your information, we will only do so where it is necessary or required by law.

This personal information collected by your holiday club provider and shared with Edsential is summarised. The summarised information itself does not contain any personal data from which your child can be identified. The summarised information is then securely shared by Edsential CIC with us.

How long will my personal data be retained?

We will only keep your information for as long as it necessary. When the information is no longer needed for this purpose, it will be securely deleted.
