Localities Volunteering Privacy Notice

Who will own my data once I submit it?

We will own your data once it has been submitted.

Why do you need my information?

We are committed to working more closely with communities and partners to deliver high quality, efficient and effective public services through new and enhanced ways of working which contribute to improving the quality of life and wellbeing of local people.

Our locality working programme is currently split across four areas:

  • Chester
  • Ellesmere Port
  • Rural
  • Northwich and Winsford

If you submit an application for a volunteer role with us, we will need to collect and use your information to:

  • understand your skills, background and experience to find a suitable volunteer role for you
  • provide you with work experience
  • recruit you as a volunteer
  • assess support needs
  • administer and manage your volunteer placement
  • carry out a DBS check if you are working with children or vulnerable adults to ensure we are compliant with our safeguarding responsibilities

The sections below set out the categories of personal and sensitive data we may ask for at each stage of your application to become a volunteer with us and to support you in your volunteer role.


If you contact us with any questions prior to submitting an application for a volunteer role on our locality working programme, we will not keep a record of any of your details.

If you submit an application

If you submit an application for a localities volunteer role with us, we will need to collect some personal information:

  • your name, address, postcode, and e-mail address, date of birth and telephone number
  • details of your relevant education and employment history
  • details of any skills or interests that you would like to highlight to us
  • details of references
  • details of your current situation (student, employed, retired etc.)
  • the IP address that you accessed any of our online services from

Assessment stage

If you are successful in our initial shortlisting stage, we may invite you for an interview or selection day.

If we make and you accept an offer for a volunteer role

We will require further information from you in order to meet our obligations, such as your:

  • emergency contact details
  • confidential statement of health

What allows you to use my information?

When we collect and use your personal information, we do so under a contract with you in order to assess your suitability for volunteering. The legislation, policies and guidance that allow us to do this includes but is not limited to:

  • General Data Protection Regulation Article 6 part e
  • General Data Protection Regulation Article 9 part b
  • Equality Act 2005
  • The Human Rights Act 2011
  • Employment Rights Act 1996
  • The Equal Opportunity Act 2010

Who will my information be shared with?

The information that you submit will be shared with members our localities team which you are volunteering in.

Do I have to provide this information and what will happen if I don’t?

If you choose not to provide us with any of the information, your application may be rejected or we may be unable to consider you for volunteering.

How long will you keep this data for and why?

We will retain information about your application whilst we are considering you for volunteering, whilst you are volunteering and also for six years after you have volunteered. This is so that we have appropriate records should any applicants challenge the process that we have followed. If you are successful for the volunteer role and it involves working with children, we will retain your records for 25 years after your employment has ended.

How will my information be stored?

Your information is held securely on systems within our IT network.

What rights do I have when it comes to my data?

Under Data Protection legislation you have the right to request access to the information that we hold about you.

To request a copy of your data or ask questions about how it is used, please submit your request by following your preferred method of contact in the 'How do I ask for my personal information' section.

In certain circumstances, under data protection legislation, you may also have the right to:

  • have inaccurate personal data rectified, blocked, erased or destroyed
  • prevent processing for the purpose of direct marketing
  • right to receive your information in a machine readable portable format
