Who will own my data once I submit it?
We will own your data once it has been submitted.
Why do you need my information?
The Older People’s Network (OPN) is a group created with the aim of listening to the views of the growing number of older people, and to plan services that effectively cater for their needs. Members are residents aged 60 plus.
When we collect and use your information, we need this to:
- keep you updated with relevant information or items of interest including regular mailings of a newsletter which contains helpful information about local events and activities
- keep you updated with our annual general meeting
- invite you to forums where you can raise issues of concern
- send you e-mails authorised by the Chairman to raise awareness of local events, services, and activities, consultations and police alerts e.g. local scams
The information that we collect about you could include your title, name, address, postcode, ward, telephone number(s) or e-mail address.
What allows you to use my information?
When we collect and use your personal information for the Older People’s Network, we do so after obtaining your consent. You can decide to leave the OPN at any time and, if you do, we will remove any information we hold about your membership.
Who will my information be shared with?
Your information will only be shared with our OPN core group, and will only be used in connection with the Older People’s Network. Your information will not be shared with any third parties.
In exceptional circumstances, such as concerns about safeguarding, individual level data may be seen by a small number of people involved in administration for the Older People’s Network.
Do I have to provide this information and what will happen if I don’t?
If you do not provide us with your information, we will not be able to register you as a member of the OPN. This means that we will not be able to contact you or keep you updated with the work of the OPN.
How long will you keep this data for and why?
We will only keep your information for as long as you wish to remain a member of the Older People’s Network.
Your information will remain on the OPN database until you request your details to be removed, or until recent mailings are returned to sender. Members (or your close relatives, or a solicitor acting on your behalf) can request that your details are removed from the database. Requests can be made by e-mail, telephone or letter. Any returned post or paper documentation containing your personal information will be destroyed via confidential waste.
Cancelled membership details are deleted. If we are unable to confirm whether a membership is to be cancelled (for example, upon receipt of post returned to sender), membership details are then transferred to the "ex members" list for six months, after which time they will be permanently deleted.
How will my information be stored?
Your information is held securely on systems within our IT network. Paper application forms are securely destroyed after the details have been input to the OPN Membership database.
Under data protection law, you have rights including:
- your right of access - you have the right to ask us for copies of your personal information
- your right to rectification - you have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
- your right to erasure - you have the right to ask us to erase your personal information in certain circumstances
- your right to restriction of processing - you have the right to ask us to restrict the processing of your information in certain circumstances
- your right to data portability - you have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
