Outdoor events

Overview

If you want to organise an event in Cheshire West and Chester, you can apply by submitting an application form or contacting our Events team.

In considering your application, ourselves and the safety advisory group (SAG) need to understand the type of event you wish to hold.

We would advise you to apply at the earliest opportunity, but the latest we would consider your application would be:

  • For events with less than 1000 people attending or participating, we will require your application form eight weeks prior to the event and your documents no later than eight weeks before your event
  • For events with between 1000 and 4999 people attending or participating, we will require your application form 12 weeks prior to the event and your documents no later than eight weeks before your event
  • For events with 5000 or more people attending or participating, we will require your application form six months notice prior to the event and your documents no later than 10 weeks before your event.

If your event requires the use of council owned or managed land including the public highways and the River Dee, an administrational fee will apply and is based upon the total number of people attending over the whole event including participants and spectators.

The administrational fee is payable as part of the application process, with the cost breakdown being:

  • Events up to 499 persons including participants and spectators, a fee of £138 (inclusive of VAT) will apply
  • Events with 500 or more persons including participants and spectators, a fee of £252 (inclusive of VAT) will apply

If you require a temporary traffic regulation order (TTRO), the above administrational fees will apply.

Depending on the nature of your event, you may still be subject to fees for licensable activities, temporary road closures/traffic restrictions, land occupation licence fees.

Events where an administrational fee does not apply or is waived:

  • Events on private land where no event activities impact council owned or managed land
  • Remembrance Sunday, commemoration events and national occasions

If your event does not require the use of council owned or managed land, we would encourage you to submit an application form to the council. This helps understand event activities across the borough that could potentially impact each other.

Should your event be cancelled or declined due to insufficient planning, any administration fees paid are non-refundable.

Promoting an event prior to approval is at the organisers own financial and reputational risk.
